Membership Terms & Conditions

These Terms & Conditions apply to all services provided by Joy Strength Studio, including Small Group Personal Training, Personal Training, courses and youth programmes.

These Terms & Conditions form a legally binding agreement between you (“the Member”) and Joy Strength Studio (“Joy”, “we”, “us”). By joining Joy, you agree to comply with these terms.

Membership

Minimum Membership Term

Memberships at Joy Strength Studio are subject to a minimum initial commitment of three months from the start date of the membership.

During this initial period, memberships cannot be cancelled except in exceptional circumstances at the discretion of Joy Strength Studio.

After the initial three-month period, memberships will continue on a rolling monthly basis and may be cancelled by providing 14 days’ written notice prior to the next billing date.

Joy Strength Studio reserves the right to consider early cancellation requests in cases of injury, illness, pregnancy, relocation or other exceptional circumstances, where appropriate evidence may be required.

Memberships are personal and non-transferable.

Membership Fees

Membership fees are payable monthly in advance by direct debit.

Failure to make payment may result in suspension of access to sessions until payment is resolved.

Failed or missed payments may result in suspension of booking privileges until the outstanding balance is settled.

Members must ensure their contact details and health information are kept up to date.

Membership Freeze

Members may request to freeze their membership for up to two weeks per calendar year.

Freeze requests must be submitted at least 7 days in advance and must be taken in full-week blocks.

Membership freezes cannot be applied retrospectively.

During a freeze period, the member’s billing date will be extended by the length of the freeze.

Additional freeze periods may be granted at the discretion of Joy Strength Studio in cases of injury, illness or pregnancy.

Booking & Attendance

Booking Sessions

All sessions must be booked in advance through the studio booking system.

Joy Strength Studio reserves the right to refuse or cancel bookings where necessary for operational or safety reasons.

Joy Strength Studio operates a digital booking system for session scheduling and account management.

While every effort is made to ensure the system operates reliably, Joy Strength Studio cannot guarantee uninterrupted availability of the booking platform.

Members are responsible for managing their bookings and cancellations within the stated timeframes.

Cancellations

Members may cancel or reschedule Small Group Personal Training sessions and classes up to 12 hours before the scheduled start time.

1-to-1 Personal Training sessions and crèche bookings must be cancelled or rescheduled at least 24 hours before the scheduled start time.

Cancellations made after these timeframes will be treated as late cancellations and the session will be forfeited.

Failure to attend a booked session without cancelling will be treated as a no-show and will incur a £10 fine.

Members who accumulate three late cancellations within a calendar month will incur a £10 late cancellation fee.

Late Arrivals

Please arrive in time for the scheduled start of your session. We understand that occasional delays happen, and members arriving within the first 10 minutes may join the session where the coach considers it safe and practical to do so.

For SGPT, members arriving more than 10 minutes after the scheduled start time will not be able to join the session. By this point, the warm-up, movement preparation and key coaching instructions will usually have taken place. Joining later can compromise both your own safety and the quality of the session for the rest of the group.

For other coached sessions, the coach may refuse participation where a member has missed essential warm-up or instruction, even if they arrive within the first 10 minutes.

All sessions will finish at the scheduled time regardless of arrival time. Late arrivals outside the permitted window will be treated as a missed session and the credit will not normally be returned.

The coach on duty has final discretion regarding whether it is safe and appropriate for a late-arriving member to participate.

Health & Safety

Health and Medical Conditions

All members must complete a health questionnaire before participating in training.

Members are responsible for informing the coach of:

  • injuries

  • medical conditions

  • pregnancy

  • changes in health

Participation in exercise is voluntary and undertaken at the member’s own risk.

Joy Strength Studio may advise members to seek medical clearance before participating where appropriate.

Illness

Members should not attend sessions if they are experiencing symptoms of illness that may be contagious.

Joy Strength Studio reserves the right to refuse participation where a member appears unwell in order to protect the wellbeing of staff and other members.

Coaching and Safety

Members agree to follow all coaching instructions during sessions.

Equipment must be used only as instructed.

Joy Strength Studio reserves the right to stop a participant from continuing an exercise if it is considered unsafe.

Members must report any injury, pain or discomfort immediately.

Open Gym

Open Gym is an unsupervised training session and is intended for members who have sufficient experience and confidence to train independently and use the studio equipment safely.

Before attending Open Gym for the first time, members must have completed a minimum of 6 coached SGPT sessions at Joy, unless a Joy coach has confirmed that they are sufficiently experienced to use Open Gym sooner. We reserve the right to ask a member to complete additional coached sessions before using Open Gym if we feel this would be appropriate for their safety.

During Open Gym, there is no dedicated coach supervising your training. Members are responsible for selecting exercises, loads and equipment that are appropriate for their own ability and experience, and should only perform exercises and use equipment that they are confident they can use safely and correctly.

Members must follow all studio safety guidance and equipment instructions, use appropriate safety equipment (including safeties on racks where applicable), and return equipment to its designated place after use.

If you are unsure how to perform an exercise, set up or use a piece of equipment, or whether something is appropriate for you, please do not attempt it during Open Gym. Speak to a Joy coach and we will be happy to help you during a coached session.

Participation in Open Gym is at the member’s own risk, subject always to Joy Strength Studio’s responsibilities under applicable law. Members must immediately stop exercising and seek assistance if they experience pain, dizziness, unusual shortness of breath or otherwise feel unwell.

Joy Strength Studio reserves the right to withdraw or suspend Open Gym access where we reasonably believe that a member is using equipment unsafely, disregarding studio rules, or does not yet have sufficient experience to train independently.

Studio Conduct

Studio Etiquette

Members are expected to:

  • treat staff and other members with respect

  • follow studio guidelines

  • use equipment responsibly

  • return equipment to its designated place

Joy Strength Studio operates as a supportive and inclusive environment.

Behaviour that is disruptive, unsafe or disrespectful may result in removal from sessions or termination of membership.

Right to Refuse Participation

Joy Strength Studio reserves the right to refuse participation in any session where a member’s behaviour, health condition or level of impairment (including intoxication) may pose a risk to themselves, staff or other members.

Youth Classes (Strong Girls)

Participants under 18 must have a parent or guardian complete consent forms before attending.

Parents or guardians must inform the studio of relevant health information.

All youth sessions are supervised by a qualified coach.

Crèche Use

Joy Strength Studio may offer a crèche service during selected training sessions to support members with young children. Use of the crèche is subject to the following conditions: 

Eligibility 

The crèche is available only to children of members attending a scheduled session at Joy Strength Studio. Children must fall within the age range specified by the studio (0–5 years) to attend the crèche. 

Crèche Booking and Cancellation Policy 

Crèche spaces must be booked in advance alongside a training session and are subject to availability. 

To allow appropriate staffing arrangements, crèche bookings must be made 72 hours in advance of the session. After this time, crèche spaces may not be available. Crèche bookings may be cancelled or rescheduled up to 24 hours before the scheduled start time. 

Cancellations made after this time will result in the crèche session being forfeited. 

Crèche spaces are limited and allocated on a first-come, first-served basis. Joy Strength Studio reserves the right to cancel a crèche session where minimum attendance numbers are not met, in which case affected members will be notified as soon as possible and the booking will be returned to their account. 

Parent Responsibility 

Parents or guardians must remain on the premises at all times while their child is attending the crèche. Parents must ensure they are contactable during their session and must collect their child promptly at the end of their training session. 

Health and Wellbeing 

Parents must inform the studio or childcare staff of: 

  • any medical conditions 

  • allergies 

  • additional care needs 

Children who are unwell should not attend the crèche. Joy Strength Studio reserves the right to refuse entry to the crèche if a child appears unwell. 

Personal Items 

Parents should provide any necessary items for their child, such as: 

  • nappies

  • wipes

  • bottles or snacks (if permitted) 

  • comfort items 

Joy Strength Studio cannot guarantee responsibility for personal items brought into the crèche. 

Behaviour and Safety 

The safety and wellbeing of all children is a priority. If a child becomes distressed or unwell during a session, the parent may be contacted and asked to attend to their child. 

External Providers 

Where the crèche is operated by an external childcare provider, that provider may operate under its own policies, procedures and insurance arrangements. Joy Strength Studio is not responsible for the operational management of external childcare providers. 

Liability 

While all reasonable care will be taken to ensure a safe environment, Joy Strength Studio cannot accept responsibility for accidents or injuries occurring within the crèche except where caused by negligence. 

Parents must collect their child promptly at the end of their session. Joy Strength Studio reserves the right to charge a late collection fee if children are not collected within 10 minutes of the session ending. 

Liability

Personal Belongings

Members are responsible for their own belongings while at the studio.

Joy Strength Studio accepts no responsibility for loss, theft or damage to personal property.

Exercise Risk

Participation in exercise carries inherent risks.

Joy Strength Studio shall not be liable for injury, loss or damage sustained during participation except where caused by negligence.

Operational Policies

Studio Closure

Joy Strength Studio may occasionally close due to public holidays, maintenance or circumstances beyond our control.

Short-term closures will not normally result in membership fee adjustments.

Coaching Staff

Joy Strength Studio may occasionally substitute coaches due to illness or operational requirements.

Photography and Media

From time to time photographs or video may be taken during sessions for promotional purposes.

Members who do not wish to appear should inform the studio.

Legal

Changes to Terms

These terms may be updated from time to time.

The most current version will always be available via the studio website or booking system.

These terms are governed by the laws of England and Wales.
